Operations and workflow · Salt Lake City and the Wasatch Front

Corwen

We find the work your team should not be doing and build the thing that does it instead. Quotes and proposals, onboarding, document handling, scheduling, reporting, phones and inbox. One or two builds per contract, scoped from a list we put together with you. Then we train your people on it and stay on as the work changes.

The problem

You are paying salaried people to retype things.

The same information gets entered into three systems. A document gets touched five times before it goes out. Somebody waits two days on somebody else for a file that already existed. None of it shows up as a line item, which is exactly why it never gets fixed.

That is not a criticism. It is where nearly every company your size is right now. Most of it built up one reasonable decision at a time, and nobody has had the hours to go back and look at the whole thing.

One example

Here is what one person does before lunch.

Eight things, every morning, at a business with about twenty people. Six of them are moving information between systems that could have talked to each other. Two of them need a person who can make a call.

Every morning2 things
1Listen to yesterday's voicemails and write them down
2Retype each one into the scheduling system
3Send tomorrow's confirmations, one at a time
1Call back whoever did not confirm
5Re-key a new customer from the form they filled in
6Build today's job sheet from three different screens
7Send the job sheet out and update the system
2Sort out the one job that has to move
Per week14 hrs2 hrs

The two that stay are the two that need judgment. Nobody's job got smaller here. The part of it that was never worth doing did.

What we do

We build it, we get it used, and we stay.

Builds

The specific tools your business needs

Document and proposal generation with signature routing and filing. Onboarding that moves a new customer through intake, signature, and system of record without re-entry. Data extraction to replace manual keying. Inbox triage, scheduling, and after-hours phone coverage. Fixed scope, fixed price, piloted with real staff before we call it done.

Adoption

Getting your people to actually use it

Staff training, leadership coaching, hardware and account setup, and a written usage policy covering what data is allowed where. Most of these projects fail on adoption rather than on the build. This is the part that decides whether it was worth doing.

Retainer

Someone who owns this

Ongoing build work, independent evaluation before you buy anything, policy maintenance, and a monthly written report with real numbers. You get someone to call when a vendor pitches you and you want a straight answer. Twelve month terms, ninety day out.

How it works

Four phases. Same names on every engagement.

01

Map

We interview the people doing the work, not just the owner. We document how work actually moves and put time estimates on each step. You get a workflow map and an opportunity list.

02

Prioritize

Every opportunity gets scored on hours saved, difficulty, and risk. We recommend a sequence. The first build is always visible, useful, and low risk, because the goal at that stage is belief.

03

Build

Fixed scope, weekly progress you can see, piloted with two or three of your staff. Nothing is finished until someone who does not work here has used it successfully for a week.

04

Operate

Monitor, train, adjust, and report monthly with real numbers. When something we built stops earning its keep, we tell you before you notice and we turn it off.

Industries

Where the time usually goes.

We work across industries. What changes is not the method, it is where the manual work has piled up. This is what we typically find first.

IndustryWhere the time usually goes
Accounting and taxEngagement letters, client onboarding, document intake, busy season capacity, data entry from client records
LegalClient intake, document review, billing narrative cleanup, matter management
Healthcare and dentalScheduling, no-show reduction, patient follow-up, insurance verification, records requests
Home services and tradesQuote generation, dispatch scheduling, follow-up sequences, review requests, after-hours calls
Property managementMaintenance request triage, tenant communication, lease generation, vendor coordination
Retail and ecommerceInventory forecasting, reorder automation, customer outreach, review generation

If your business is not on this list, the walkthrough is still free and the method is the same. We will tell you honestly if we are not the right fit.

Systems

We work with what you already run.

We do not ask you to migrate. Part of the walkthrough is finding out what actually connects to what, and telling you before we scope rather than in week three.

On your data

Your obligations become our obligations.

Some of what we build runs on language models. That is a detail of how it works, not a thing we are selling you, and it comes with rules we take seriously.

Commercial termsWhere a model is involved we use commercial API access with zero data retention. Never a consumer chatbot subscription with your customer records pasted into it.
Your rules applyWhatever governs your industry governs us. HIPAA and a signed BAA for anything clinical. IRC 7216 for anything touching a tax return. Privilege and confidentiality for legal work. We scope around them and we will tell you when something is not worth the exposure.
Documented flowsEvery automation ships with a written record of what data goes where. You can hand it to an auditor or a reviewer.
Human in the loopNothing we build takes a consequential action without a person checking it. The cost of a wrong document reaching your customer is higher than the time saved by removing the review.
Who this is for

Owner-run businesses with nobody on this.

CriteriaDetail
SizeRoughly 5 to 50 people. Large enough that the manual work is expensive, small enough that hiring someone for it makes no sense.
ShapeOwner-operated or a small partner group, where one or two people can actually make a decision.
LocationSalt Lake City and the Wasatch Front for on-site work. Remote elsewhere.
Current stateNobody at the company owns this today. If you already have an operations lead who is on top of it, you probably do not need us.

We turn down work we cannot do well. In a market this size, one bad reference costs more than the engagement was worth.
